ResiTrack Documentation

ResiTrack is a comprehensive society management system designed to simplify operations for apartment complexes and residential societies. It bridges the gap between administrators, residents, and security personnel.

Note: Some features may vary based on your assigned role within the system.

Getting Started

1. Account Creation

You can sign up using your email address or Google account. Visit the Sign Up page to create your profile.

2. Joining a Society

There are multiple ways to join a society in ResiTrack:

  • Invitation Code (Manual): Enter the 6-character code provided by your Admin in the "Join Existing" screen.
  • Invitation Link (Auto): Click the unique link sent to your email to join automatically.
  • QR Code: Scan the society's QR Code to open the join page with the code pre-filled.
  • Manual Addition: Your Admin can manually create your account and share the credentials with you directly.

Alternatively, you can Create a New Society if you are setting up ResiTrack for the first time for your building.

Roles & Permissions

Admin

Full access to all modules. Can manage units, users, finances, and settings.

Owner

Can view own unit details, pay dues, view transactions, and manage tenants.

Resident

Can view unit details (if assigned) and raise issues/tickets.

Accountant

Access to financial transactions, dues, and reports only.

Security

Restricted access to Gate/Visitor management module only.


Apartment Management

The core of the system is the apartment inventory. Admins must set up all units before onboarding members.

  • Adding Units

    Define Block, Flat Number, Type (1BHK/2BHK, etc.), and Area.

  • Assigning Members

    Link registered users to specific flats as either 'Owner' or 'Resident'. This grants them access to their 'My Apartment' dashboard.

Invitations & Onboarding

Admins can onboard new members by sending email invitations. Each invitation:

  • Has a specific role (e.g., Owner, Security).
  • Can optionaly be pre-linked to an apartment.
  • Contains a unique, expiring Invite Code.

When the user enters this code in their dashboard, they are automatically added to the society with the correct role and unit assignment.

User Management

The Users section allows Admins to view all members of the society.

Key Features

  • View member details (Name, Email, Role).
  • Search for members.
  • Remove User: Deleting a user removes them from the society and automatically unlinks them from any assigned apartments.

Transactions & Finance

Track society inflows and outflows.

Income

Record maintenance payments, event fees, renting of amenities, etc.

Expenses

Record electricity bills, security salaries, repair costs, and other operational expenses.

Categories

Organize your finances by defining custom categories for Income and Expenses (e.g., "Electricity", "Plumbing", "Maintenance Collection"). You can quickly load standard samples or create your own.

Dues

Generate and track recurring maintenance dues for all flats.

Admins can view outstanding dues society-wide, while Owners only see their own unit's dues.

Gate & Visitors

A streamlined interface for Security Guards to manage entry and exit.

Frequently Asked Questions

How do I change my theme?

You can toggle between Light and Dark mode using the icon in the header. Your preference will be saved automatically.

Can I manage multiple societies?

Yes! If you are part of multiple societies, you can switch between them from the society selector dropdown in the main dashboard.

What if I forget my password?

On the Login page, click "Forgot Password" to receive a reset link via your registered email address.
